Yes, you can delete a reply you’ve sent to a user in error. For example, if you include sensitive information in a reply, you can delete it so the user will no longer see it.

You can also delete replies your user has sent to you.

Note: Replies sent by email can’t be deleted from your user’s email client. If your user doesn’t see your reply in the Messenger within two minutes, an email notification with the conversation will be sent to the user - which you also can’t delete.

To delete a reply in the inbox, click the ‘actions icon’ next to the message. Then select ‘Delete’.

If your business uses Microsoft Outlook on the collaborative communications server, Microsoft Exchange Server, you have some advantages over standard Outlook account users, such as the ability to search multiple mailboxes, increased security features and the ability to recall or even replace an email message. With the latter, you can "unsend" emails, which is ideal if you forget to include important information, discover an error in a message or realize you hit the dreaded "Reply All" button on a private email. In addition, you can replace the recalled message with a modified version.

Recall an Email

  1. Start Outlook and select the "Sent Items" folder in the Navigation Pane. Double-click the message you want to recall to open it.

  2. Select the "Message" tab of the email message window.

  3. Click the "Actions" drop-down arrow in the Move group and select "Recall This Message." Select "Delete Unread Copies of This Message."

  4. Select the "Tell Me if Recall Succeeds or Fails for Each Recipient" check box if you want to a notification informing you about the results of your attempt and click "OK."

Replace an Email

  1. Start Outlook and select the "Sent Items" folder in the Navigation Pane. Double-click the message you want to recall to open it.

  2. Select the "Message" tab of the email message window. Click the "Actions" drop-down arrow in the Move group and select "Recall This Message."

  3. Select "Delete Unread Copies and Replace With a New Message." Select the "Tell Me if Recall Succeeds or Fails for Each Recipient" check box if you want to a notification informing you about the results of your attempt.

  4. Make any desired changes to the email and click "Send."
